Privacy statement
01Who we are
eyesonrooms provides room-by-room climate monitoring for rental housing. For privacy questions, write to info@eyesonrooms.com.
02This website
The website sets no cookies, uses no analytics and loads no third-party trackers. The fonts are served from our own server as well. No visitor log is kept for this website.
03The contact form
When you fill in the form, we receive the details you enter yourself: name, company, e-mail address, phone number, number of rooms and your message. We use them only to answer your enquiry and, if you want one, to prepare a quote.
The legal basis is your own request (Article 6(1)(b) GDPR) and our legitimate interest in following up business enquiries (Article 6(1)(f)). We keep the details for up to 24 months after the last contact, unless you become a customer.
We work with these processors:
- netcup GmbH, Nuremberg, Germany: hosting of the website and the server.
- Hetzner Online GmbH, Gunzenhausen, Germany: encrypted backups of the server (Storage Box in Falkenstein, Germany). Hetzner cannot read them: only we hold the key. What we delete disappears from the backups as they expire.
- Brevo (Sendinblue SAS), France: delivers the form message to our mailbox.
- Google (Google Ireland Ltd.): our mailbox. Google may also process data outside the EU, under the EU-US Data Privacy Framework and standard contractual clauses.
04The demo
At eyesonrooms.com/en/demo you can try the sensor portal and the housing management yourself. Every house, tenant, reading and amount in the demo is made up; nothing goes to real tenants or customers, and the demo starts over every hour.
Before the demo opens we ask who you are: name, company, e‑mail address, the number of houses you manage and – if you fill it in yourself – your phone number. We also record which demo you opened, when and for how long you looked around in it, in which language, and a hashed, shortened form of your IP address (never a readable address) to keep the form from being abused.
We use this to see who is looking, and to send you one e-mail two days later asking whether the demo was useful, with a link to unsubscribe. No newsletter, nothing sold on, no advertising. The basis is your consent on the form (Article 6(1)(a) GDPR) together with our legitimate interest in following up business interest ((f)). We keep the details for at most 24 months after your last contact, unless you become a customer.
Only we see these details, and they sit on our own server in Germany. The processors are the same as for the contact form (netcup, Hetzner for the backups, Brevo, and Google for our mailbox). To check that a person is filling in the form we use our own picture challenge – it loads no third-party script and sets no cookie.
You can have your details deleted at any time: mail info@eyesonrooms.com and we will erase them.
05Your account and subscription
You can sign up yourself for housing management and fault reporting by QR code. When you sign up we ask for: company name, your name, work e‑mail address, the number of houses, the kind of company and – if you fill it in yourself – your phone number. We also record when you gave your consent and a hashed, shortened form of your IP address (never a readable address), to keep the form from being abused.
With these details we create your account and your workspace, send the confirmation and welcome e-mails, and keep track of what you use and what it costs. The basis is the performance of the contract you enter into by signing up (Article 6(1)(b) GDPR); preventing abuse is our legitimate interest ((f)). A sign-up you do not confirm within 30 days is deleted.
What you enter yourself afterwards – houses, tenants, colleagues, reports and photos – we process on your behalf. For that data you are the controller and we are the processor; we record the arrangements with you in a data processing agreement.
Payment. During the trial we ask for no payment details. If you pay online later, you enter your card or account at a payment provider; we never see or keep your card number, only the provider's reference and a short description (for example ‘Visa •••• 4242’). We will name the provider here as soon as online payment is switched on. Until then we send an invoice by e-mail.
Keeping. We keep your account details for as long as your account exists. If you cancel, we delete your workspace and your details; invoices and payments we keep for seven years, because the law requires it. The data sits on our own server in Germany; the processors are netcup (server), Hetzner (encrypted backups), Brevo (e-mail) and Google (our mailbox), and later the payment provider.
You can always see, correct or delete your details: mail info@eyesonrooms.com. You can also change your name, phone and job title yourself under ‘My account’.
06Cookies
This website sets no cookies – no analytics, no trackers, no advertising. That is also why you see no cookie banner here: there is nothing to ask consent for.
Our signed-in environments do set cookies, but only the ones needed to work. Those need no consent, but you are entitled to know which they are:
- Sign-in (
eor_session,eor_b,eor_fact,eor_boss): keeps you signed in. Gone when you sign out. - Language (
eor_lang): the language you chose yourself (NL / EN / HU), one year. - View (
eor_view,eor_ui): cards or table, so you do not have to choose again on every page. - Demo (
eor_demook,eor_demol,eor_demok): remembers that you already filled in the demo form, which demo you picked and which sign-up your visit belongs to, so we do not ask again. At most 90 days. - Forms (
eor_flash,eor_bfl,eor_ffl,eor_bc): show an error message once and protect forms from abuse. A few minutes.
None of these cookies follows you across other websites, and we share them with nobody. If we ever used analytics or advertising we would ask your consent first – not now, because we do not use them.
07Sensor readings
For our customers we process temperature and humidity readings per room, as a processor and under a data processing agreement with the customer. These readings contain no names, no tenant records, no images and no audio, and they are stored on servers in Germany.
08Your rights
You can ask us which data we hold about you, and have it corrected, erased or restricted. You can also object, or ask for your data in a common format. Write to info@eyesonrooms.com; we reply within one month.
If you disagree with how we handle your data, you can complain to the Dutch Data Protection Authority (autoriteitpersoonsgegevens.nl).
09Changes
When this statement changes, we update the date at the top.
Start small: a pilot in a few houses.
After a month you know how many rooms really use a heater and where mould is building up. Measured, per room, with the address.
